Pre-due
3 days before by default
Choose how many calendar days before the due date to check for a reminder. This type is off until you enable it.
PayPoke · owner guide
PayPoke checks the saved first-invoice setup and unpaid workspace invoices entered individually or imported from CSV. Reminder settings are shared at the account level, but every invoice is evaluated independently. Pre-due and overdue reminders are separate options, and neither is enabled automatically.
01 · Timing
By default, both reminder switches are off. If you enable one, its offset is measured in calendar days from each invoice’s own due date. Each offset can be set from 1 to 90 days.
Pre-due
Choose how many calendar days before the due date to check for a reminder. This type is off until you enable it.
Overdue
Choose how many calendar days after the due date to check for a reminder. This type is also off until you enable it.
The reminder job runs once daily on a schedule set to 08:00. The schedule does not declare a time zone, and date comparisons use UTC calendar days, so 08:00 is not a promise of a particular local send time.
On or after its calculated date, the job can attempt a pre-due reminder while the invoice is still before its due date, or an overdue reminder after its offset. It does not create a repeating daily reminder series. PayPoke makes at most one automatic attempt per reminder type and invoice due date, and an attempt does not guarantee delivery.
02 · Eligibility
The daily job considers the saved first-invoice setup and invoices entered individually or imported from CSV in workspaces owned by your account. Unpaid invoices from either source use the same account-level settings. An automatic reminder attempt requires an active PayPoke subscription, an enabled reminder type, and an invoice that is unpaid, not archived, and not paused for reminders. Due date and prior reminder history are checked separately for each invoice; marking one invoice paid does not make another invoice for the same customer ineligible.
03 · Setup
Sign in with an active subscription, then open First invoice. Save your invoice setup if you have not already; the reminder settings card appears after a setup exists, and settings access also requires an active subscription.
Find the Reminder schedule card below your saved first-invoice setup.
Turn on pre-due, overdue, or both separately, then choose each type's 1–90 day offset.
Edit the subject and body for each type to suit your customer and invoice.
Saving stores the switches, offsets, and templates you selected. Leaving a switch off keeps that reminder type disabled.
04 · Test emails
Saving settings only stores your schedule and templates. It does not send, queue, or test an email. If you choose a test-email action in Reminder schedule, that separate action sends a test to your account email using the saved template. Save copy edits first if you want the test to include them.
